Office Policies

Clear expectations so we can focus on your care

Late Cancellation and No-Show Policy

Your appointment time is reserved just for you. When appointments are missed or canceled without enough notice, it leaves a gap that could have been filled by another patient in need of care.

We ask for at least 24 hours’ notice for any cancellations or changes. Appointments canceled with less than 24 hours’ notice, or missed without notice, may be charged a cancellation fee of 75% of the scheduled visit cost.

As a family-focused practice, we understand that life happens—children get sick, unexpected emergencies arise, and babies don’t always follow a schedule. For this reason, exceptions are made in certain circumstances. First-time late cancellations may be excused, but repeated last-minute cancellations or no-shows will be charged.

Appointments missed without notice will be charged 100% of the scheduled visit cost.

To support this policy, a credit card is required to be kept on file for all patients. By scheduling an appointment, you acknowledge and agree to this policy.

Appointment Scheduling and Late Arrival

To ensure each patient receives the care and attention they deserve, we ask that you arrive on time for your scheduled visit.

We understand that delays happen—traffic, childcare transitions, and unpredictable days are part of life. If you anticipate arriving late, please let us know as soon as possible. We will always do our best to accommodate late arrivals; however, if a late arrival would impact another patient’s scheduled care, your visit may need to be shortened or rescheduled.

Please note that Dr. Nicolette may occasionally run behind schedule by up to 15 minutes due to the nature of care, extended patient needs, or pediatric visits. We appreciate your patience when this occurs and strive to keep delays to a minimum.

Our goal is to provide thoughtful, unrushed care while respecting every patient’s time. Thank you for helping us maintain a smooth and supportive schedule for all.

Initial Visit

Initial visits are designed to be more comprehensive and allow time for a full history, assessment, and discussion of care recommendations. For this reason, new patient appointments are scheduled for a longer time frame, typically 30–45 minutes.

To help your visit run smoothly, we ask that all intake forms be completed in advance and that you arrive on time. This allows us to use your appointment time efficiently and focus fully on your care.
